Let the photos fill in the dropdowns
Take the photos at the property and sync the report. Inventory AI Analysis fills in the type, finish, colour or brand from your existing lists, and sends anything it is not sure about back to the clerk to review. It never grades condition and never writes a description.
It is not always accurate, but it can save you a lot of time at the property. Terms and conditions apply. Read the terms.
The clerk has taken the photos and synced the report. The dropdowns are still empty.
Suggests, never decides
It fills the dropdowns after you sync. Anything it is not sure about comes back to the clerk as a review, so the clerk confirms it or picks something else.
Only from your lists
It picks from the door types, finishes, colours and brands already in your account, so reports stay consistent across the team.
Condition is always the clerk's call
No condition grade is ever suggested. Condition defaults to Good and the clerk sets it from what they see on site.
How it works
Nothing extra to do at the property. The work happens when the report syncs.
- 1
Photograph the items at the property
Take the photos you would take anyway. You do not need to fill in the dropdowns on site.
- 2
Sync the report
When the report syncs, the AI reads the photos and fills in type, finish, colour or brand from your lists.
- 3
Unsure items come back for review
Anything the AI is not confident about, for example a colour in poor light, is sent back to the clerk as a review.
- 4
The clerk confirms
Check the items under review, change anything that is wrong, and set the condition and notes yourself.
What it fills in, per item
Everything it fills in comes from the dropdown lists already in your account.
| Item photographed | What the AI suggests |
|---|---|
| Door | Door type, finish, door colour, frame type, frame colour |
| Window | Window type, glazing type, frame type, sill type, sill colour, frame colour, number of opening panes |
| Wall | Wall finish (painted, papered), wall colour, skirting type, skirting colour |
| Floor | Floor covering (carpet, laminate, tiles, vinyl), floor colour |
| Ceiling | Ceiling finish, ceiling colour, number of recessed spotlights |
| Kitchen appliance | Appliance type (oven, hob, fridge), brand if a logo is readable, colour |
| External features | Which garden or external features are visible (type list only) |
| Boundary | Boundary type (fence, wall, hedge), colour |
| External surfaces | Which ground surfaces are visible (patio, lawn, gravel) |
What it does
- Fills in type, finish, colour and brand
For doors, windows, walls, floors, ceilings, kitchen appliances, boundaries and external features.
- Runs when the report syncs
No extra steps at the property. Take the photos, sync, and the dropdowns are filled from your lists.
- Sends unsure items back for review
Anything it is not confident about goes back to the clerk to confirm or change.
- Saves time on site
Less tapping through dropdowns at the property, so inspections take less time.
What it does not do
- Condition, damage, wear or cleanliness
No condition grade is ever suggested. Condition defaults to Good and the clerk sets it.
- Defects
None are spotted or recorded.
- Notes and descriptions
It writes no free text.
- Fixtures and furnishings
Deliberately switched off: it double-counted items seen in several photos and invented others. Clerks enter them by hand.
- Other counts
Sockets, switches, radiators, worktops and cupboard units are the clerk's job.
- Things it cannot see
Meter readings, smoke alarms, keys, serial numbers and anything not clearly in the photos.
Known limits
We would rather you knew these before you rely on it.
- It only picks from your lists
It cannot name anything that is not already in your dropdown lists.
- Colours are its weakest area
Shadows and lighting confuse it. When unsure it falls back to “As Picture” and flags the field.
- Brands need a legible logo
It only gets a brand right when the logo can be read in the photo.
- It is not always accurate
Unsure items come back for review, but anything it fills in should be treated as unchecked until the clerk has looked at it. Terms and conditions apply.
You stay in control
AI Analysis is a time-saver for the dropdowns, not a replacement for the clerk's judgement. It is not always accurate: anything it is unsure about comes back to the clerk, and the clerk sets the condition. Terms and conditions apply.
- Optional, and chosen per inventory. It runs only on inventories, never on check-in, check-out or mid-term reports.
- Switch it off for the whole account under Account > AI Analysis.
- Photos and the room and item context are sent through miProgram's servers to Anthropic PBC, our AI provider, and are not used to train their models.
- AI use is billed to the client company through AI credits. There are no in-app purchases.
Frequently asked questions
When does it run?
After you sync the report. Take the photos at the property as normal, sync, and the AI fills in the dropdowns from your lists. Anything it is not sure about is sent back to the clerk as a review.
Is it accurate?
Not always. It is good at types and finishes, weaker on colours and brands, and it only picks from your lists. Treat what it fills in as unchecked until the clerk has reviewed it. It can still save a lot of time at the property. Terms and conditions apply.
Does it grade the condition of anything?
No. It never suggests a condition, defect, wear or cleanliness grade. Condition defaults to Good and the clerk sets it on site.
Can it add something that is not in my lists?
No. It only chooses from the dropdown lists already in your account. If a value is missing, add it to your lists first.
Why does it not fill in fixtures and furnishings?
Because it was unreliable: it double-counted items that appeared in several photos and sometimes invented items. That part is switched off, and clerks enter fixtures and furnishings by hand.
Which reports does it work on?
Inventories only. It does not run on check-in, check-out or mid-term reports.
Do I have to use it?
No. It is chosen per inventory and can be switched off for the whole account under Account > AI Analysis.
Where do the photos go?
The photos and their room and item context are sent through miProgram's servers to Anthropic PBC, our AI sub-processor. They are not used to train Anthropic's models. The Privacy Policy sets out the detail.
What does it cost?
It uses AI credits from your AI credit pack. See the AI credit packs on the pricing page for how far a pack goes.
